Managing your hiring pipeline

Organize candidates with customizable pipeline stages, bulk actions, and automated stage transitions.

Your pipeline is the heart of HirePad. This guide covers how to customize stages, move candidates efficiently, and keep your hiring process organized.

Default pipeline stages

Every new job starts with five stages: Applied, Screening, Interview, Offer, and Hired. You can rename, reorder, add, or remove stages to match your process.

Customizing stages

  1. Open a job and click the gear icon next to the pipeline header
  2. Drag stages to reorder them
  3. Click + Add Stage to create a new one
  4. Click a stage name to rename it
  5. Set a stage color to visually distinguish phases

Common additions include "Phone Screen", "Take-Home Assessment", "Final Round", or "Reference Check".

Moving candidates

There are three ways to move candidates between stages:

  • Drag and drop on the Kanban board
  • Bulk select multiple candidates and choose a destination stage
  • Automated triggers that move candidates based on events (e.g., after an AI screening is completed)

Bulk actions

Select multiple candidates with the checkbox on each card, then use the bulk action bar to:

  • Move to a different stage
  • Send a bulk email or SMS
  • Schedule interviews
  • Reject with a template message
  • Add or remove tags

Filters and search

Use the filter bar above the pipeline to narrow down candidates by:

  • Stage
  • Source (job board, referral, direct apply, etc.)
  • Date applied
  • AI screening score
  • Tags

The search bar finds candidates by name, email, or any field in their profile.

Rejection and archiving

When you reject a candidate, HirePad prompts you to send a rejection email (customizable per stage). Rejected candidates are moved to an archive, keeping your active pipeline clean. You can always restore archived candidates if needed.
