Using the unified inbox

Manage all candidate communications across email, SMS, and voice from a single inbox.

HirePad's unified inbox brings every candidate conversation into one place. No more switching between email, phone, and messaging apps.

Channels

The inbox aggregates three communication channels:

  • Email via your connected Gmail or Outlook account
  • SMS via your organization phone numbers
  • Voice call logs and transcripts from outbound calls and AI screening interviews

Each message shows a channel icon so you can see at a glance how the conversation happened.

Conversation threads

All messages with a candidate are grouped into a single thread, regardless of channel. If you emailed a candidate, then texted them, then they completed an AI screening call, all three appear in one timeline.

Composing messages

Click on a conversation to open it, then use the compose area at the bottom. You can switch channels with the dropdown next to the send button:

  • Email for longer, formal communications
  • SMS for quick updates and reminders
  • Voice to initiate a call (opens the dialer)

Templates

Create reusable templates for common messages: scheduling confirmations, follow-ups, rejection notices, next-step instructions, and more. Templates support merge fields like candidate name, job title, and interview time.

Go to Settings > Templates to manage your template library.

Quick replies

For rapid responses, use quick replies. These are one-click shortcuts for your most common responses. You'll find them in the compose area toolbar.

Filters

Filter your inbox by:

  • Channel (email, SMS, voice, or all)
  • Status (unread, awaiting reply, resolved)
  • Job (conversations related to a specific role)
  • Assigned recruiter (for teams with multiple recruiters)

Sequences

On the Team and Pro plans, you can set up automated follow-up sequences. For example, if a candidate doesn't respond to your initial email within 3 days, HirePad automatically sends a follow-up. Sequences stop as soon as the candidate replies.
